Building the Automation Backbone of a Product-Led Growth Motion

CampusESP recently launched a new AI Assistant product line, but with no in-product sales motion in place, and the Development team fully focused on building the Assistant itself, there was no time to build the purchasing flow by hand. The speaker built an automation that takes the purchase signal from the product and reflects it in HubSpot, the company's CRM, triggering native HubSpot messaging and sales workflows.

The second half kicks in once a deal closes. CampusESP used to pay a contractor firm to generate and send invoices — the speaker replaced that with an n8n workflow that creates the QuickBooks invoice the moment a deal is marked Closed Won, pulling contract terms, resolving the right customer and billing contact, and writing invoice details back to HubSpot. Once that worked for the PLG motion, it was extended to the other four pipelines, each with its own billing logic.

This talk covers both pieces and where automation should just run, versus where it should stop and flag a human instead.

  • Learn how to automatically generate and send invoices the moment a deal is marked Closed Won, pulling contract terms and billing details automatically
  • Discover how to extend one billing automation across multiple pipelines, each with its own logic
  • Understand where to let automation run freely, and where it should stop and flag a human instead
